There are no special mail accounts - Google uses a single account to access all of its services. Click "Create an account". We get to the page for filling out the registration form, it also allows you to simultaneously create mail on gmail com:

Let's run through the form fields:

  • Name and surname. Your first and last name will be visible in all Google services, so consider whether it will be real data or a pseudonym.
  • Username. This is where an “ambush” can lie in wait for you: millions of users around the world have sorted out all the popular names and words, so you have to show your imagination. The username can use Latin letters, numbers and dots, the number of characters is from 6 to 30. If the name is taken, the system will offer you free names for your own weird taste:

  • Password. At least 8 characters. It is worth recalling the importance of a strong password once again: there should not be any 12345678, qwerty123, matches with the login. It is desirable that it be a random sequence of letters, numbers and symbols. Of course, the problem immediately arises - how not to forget it? Write down in a paper notebook. An elementary action that few people do.
  • Date of birth, gender - understandable;
  • Mobile phone. You can leave it blank, but I advise you to do it - after all, it is with its help that you can recover your password if you still forget it, as well as set up two-step authorization (we'll talk about this a little later).
  • Alternate email address. It is also desirable to indicate. It is needed to provide additional account security, for example, in case of suspicious activity in the account, a corresponding notification will be sent to it.

Here you can change the password for logging in to your gmail email and in general to your account. It is generally recommended that you change your password periodically for security reasons. True, few people do it. But perhaps you will heed this advice ...

In addition, there is such a “trick” as two-step authentication. What it is? In order to log into your account, you will need to enter passwords twice: your permanent password and a confirmation code that will be sent via SMS to the phone specified during connection.

Why is there such complexity? For example, if your mail (or other Google service) contains important, confidential, or any other information not intended for prying eyes, it makes sense to do everything possible to protect it. Is not it?

By connecting two-step identification, you will be able to specify devices, when logging in from which the second step - entering a confirmation code - is not required. It can be your home laptop, the loss or theft of which is practically impossible, or a work computer - in a word, a reliable device:

In addition, you need to set up methods for backing up your account - in cases where the phone is unavailable for any reason:

There is one more moment. If you use any applications that access Google services (for example, any email client), then after enabling 2-step verification, these applications will no longer be able to sign in to your account. To solve this problem, Google has provided the ability to set application passwords.

To do this, go to your account settings, the "Google Account Sign-in" section - there we connected two-step identification. You will see that another menu line has been added - "App Passwords":

Now let's get back to Gmail. Let's log in to the mailbox using one of the methods discussed above.

But still, let's see what settings can be made in the web interface in order to provide ourselves with more comfortable work.

First of all, I want incoming mail to be automatically classified and the specified actions to be performed with it - some letters should be placed in certain folders, others should be sent to other addresses, and others should be deleted. Let's dig in this direction and see how Gmail handles inboxes.

The settings button - "Gear" - is located in the upper right corner. Click it and go to the "Settings" menu item:

Let's see what methods of grouping and filtering incoming messages can be.

Sort by category

The easiest way to sort incoming mail is by category. You may have noticed that the Inbox is divided into sections:

Gmail itself determines which email belongs to which category and places it in the appropriate tab. If the letter does not match any of the categories, it remains in the "Unsorted" section. Let's put all the checkboxes and see what changes:

Labels

For sorting letters there is a tool "Labels". Shortcuts are a concept close to folders. To manage shortcuts, go to Gear - Settings - Shortcuts:

I noted the correspondence between the active labels and their display on the left. You see, it's pretty easy to add or remove elements. You can also create shortcuts yourself, moreover, you can create a whole hierarchy of shortcuts:

I created a "Work" label, then "Another Job" label, placing it under "Work". Please note that the nested label does not have the "Show in List" attribute, its visibility can be controlled from the column on the left by clicking on the icon next to the "Work" label.

Created labels can be deleted - this will not delete the messages to which it is assigned.

By clicking on the arrow that appears when you hover the mouse over the created shortcut, you can get to the context menu:

We can manually assign a label to a letter and it will be displayed in the left menu when you click on the corresponding label. Let's put it into practice:

Let's take one of the emails automatically sent to us by Google.

We see that now it is marked with the label "Inbox". In the top menu there is an item "Labels", with which we can manage the labels of this letter.

Let's assign it "Another job":

In this way, we can process incoming messages and scatter them into different folders: in our example, we put letters from the main job in “Work”, letters from an additional job in “One more job”, we can create labels “Letters from Mom”, “Letters from friends" and so on. But you must admit, it is not very convenient to manually “pierce” each incoming letter. Can this work be automated? Of course: filters are used to further work with correspondence.

Filters

What it is? Filters are actions that the mail system performs on messages that match certain specified criteria. We get into the filter management through our favorite gear: Settings - Filters and blocked addresses.

Well, let's try to create some kind of mail processing rule?

Click "Create a new filter":

You can see by what criteria the mail is sorted. You can fill in one field, you can fill in several - then there will be a complex condition. In this example, I want to make a filter that sends incoming letters that contain the words "Work urgently" to the "Work" folder.

Let's note two checkboxes: skip inbox - this means that a letter that meets the specified conditions will not be displayed in the Inbox folder, and apply a shortcut - specify which one. As a result of the filter, letters in which I am asked to “work urgently” should end up in the Work folder, bypassing the Inbox.

Email Gmail definitely aims to be everything to its user: in the web interface, you can import contacts and all the accumulated mail from other email addresses, you can "link" these addresses to the web interface and use them.

  • Receive mail from other accounts. How is this function different from what we just did? With the help of import, Gmail picks up existing messages and contacts, and also forwards new ones within a month - so that you have time to send notifications to your recipients about the transition to new mail, i.e. you seem to have decided to abandon your old mailboxes and completely move to Gmail. Receiving mail from other accounts means that you do not refuse them, you just work now exclusively in the Gmail web interface.

How to enable receiving mail from other accounts? There are two ways:

  1. get old mail and enable receiving new one;
  2. set up to receive new mail only.

To get all messages, you need to do the following:

If you want to set up receiving messages from a third-party mail service, make sure that access via the POP3 protocol is enabled in it, if from another Google account, go to that account in the Gear menu - Settings - Forwarding and POP / IMAP and activate the option "Enable POP for all emails":

After that, return to your current account and in the "Accounts and Import" tab, add the required mail account.

The second way is to receive only new letters. To do this, you need to set up forwarding: in a third-party mail service - depends on the settings of the corresponding service, in another Google account through Gear - Settings - Forwarding and POP / IMAP, click "Add forwarding address" and specify your new address.

So, back to the Accounts and Import section. We have reached the point

  • Do you use Gmail for work?

Google offers to connect business applications that help in business, of course, for an additional fee. These are corporate mail, additional GB in cloud storage, the ability to share, and so on. I will not dwell on these applications, I will simply mention that there are solutions for business.

Next option:

  • Grant access to your account

You can let another Gmail user read, send, and delete mail on your behalf. If a representative sends a letter on your behalf, the sender's address will indicate that the letter was sent by a representative. Such a function can be convenient in some cases - for example, when the manager's mail is handled by the secretary, or when the employee goes on vacation.

Well, the last thing we see on the Accounts and Import tab:

  • Increase mailbox size

By default, when registering an account, a new Google user is provided with a mailbox size of 15 GB. It is worth considering that in fact this disk space is used not only for storing mail, but also for files that you place in Google Drive and Google Photos. It is clear that 15 GB may not be enough, in which case, for an additional fee, you can expand this space:

Various features of Gmail

Let's take a look at some mail features that we haven't discussed in the previous sections.

In the lower right corner of the screen in the web interface, we can observe some icons:

A handy innovation from Gmail: messages with the same subject are grouped into threads, where the new message is displayed above the previous ones. Is it really well thought out? You can view the entire correspondence at once without setting any additional grouping conditions. By default, grouping of messages into threads is enabled; but if this function does not suit you, you can disable it in Settings: General - Disable.

In the general tab, you can also set the page size - how many threads to display on one page and how many contacts. We have already seen contacts, in principle, working with them is not difficult.

  • Images

By default, pictures received in messages are shown immediately; if you have a slow Internet connection, you can turn on the “Ask if I want to show an image” feature.

  • Default text style

You can customize the font in which you write letters.

This feature can be handy if you need to keep track of messages coming in. Works for Google Chrome, Firefox and Safari browsers.

  • Shortcuts

If you do not want to poke the mouse on the screen, but prefer to work with the keyboard, you can enable keyboard shortcuts and manage your mail: navigate through sections, sort and delete messages, and so on.

  • Button labels

Sometimes it is necessary to automatically add your signature to letters, this is especially true for business correspondence. Of course, Gmail gives this opportunity to its users:

Another useful feature for business people is an answering machine. If you are absent from the workplace - you went on vacation, on a business trip, just went into the astral plane - turn on an answering machine during your absence, which will respond to incoming messages with a template letter. If a person does not believe that you are not there and writes again and again, the answer will be only once every four days. Emails identified as spam and mailing lists will not receive an auto-reply. When you return, do not forget to turn off the answering machine.
